This Privacy Policy describes how Salesgroup, Inc., a Delaware corporation (“Salesgroup AI”, “we”, “us” or “our”), collects, uses, discloses, and protects personal information in connection with our website at https://salesgroup.ai and our cloud-based artificial intelligence chatbot service (collectively, the “Service”).

This Privacy Policy applies to (a) visitors to our website and other public marketing properties, and (b) authorized users of the Service who interact with us directly. If you interact with a chatbot powered by Salesgroup AI on a third party’s website, app, or platform, that third party is the controller of your personal information and you should consult their privacy policy. Salesgroup AI processes data on behalf of that third party as a processor and only handles your information in accordance with their instructions and our Data Processing Agreement with them.

Capitalized terms not defined in this Privacy Policy have the meanings given in our Terms of Service, available at https://salesgroup.ai/terms-of-service/, and our Data Processing Agreement, available at https://salesgroupai.com/legal/dpa.

1. Information We Collect

1.1 Information You Provide to Us

We collect personal information that you provide directly when you:

  • Create an account or sign in (name, email address, password)
  • Subscribe to a paid plan (billing contact details; full payment card numbers are submitted directly to our payment processor and are not stored by us)
  • Configure your chatbots or upload content (knowledge base files, prompts, configuration settings)
  • Contact us for support or sales inquiries (name, email, the content of your message)
  • Subscribe to our newsletter or marketing communications (email address, marketing preferences)
  • Apply for a job or partnership (resume, cover letter, contact information)

1.2 Information We Collect Automatically

When you use our Service or visit our website, we automatically collect certain information about your device and how you interact with us, including:

  • Technical data: IP address, browser type and version, operating system, device identifiers, time zone, and language preference
  • Usage data: pages or screens viewed, features used, links clicked, time spent, referring URLs, and timestamps
  • Cookies and similar technologies: as described in Section 7

1.3 Information from Third Parties

We may receive information about you from third parties, including:

  • Our customers (when you interact with a chatbot they have deployed using the Service)
  • Our advertising partners and analytics providers (e.g., conversion events, audience data)
  • Identity verification, fraud prevention, and security service providers
  • Publicly available sources (e.g., your company website or professional profile, when you contact us)

1.4 What We Do Not Collect

We do not intentionally collect special categories of personal data (such as data revealing racial or ethnic origin, religious beliefs, health data, or biometric data), government-issued identification numbers, or full payment card numbers. We ask that you do not submit such information to the Service unless specifically requested. Full payment card numbers are submitted directly to Stripe, our payment processor, and never stored on our systems.

2. How We Use Personal Information

We use personal information for the following purposes, in each case relying on a valid legal basis under applicable Data Protection Laws (such as contract performance, legitimate interests, consent, or legal obligation):

2.1 Providing and Operating the Service

  • Creating and managing your account
  • Authenticating you and securing access to your data
  • Processing your prompts and generating chatbot responses (via the AI Providers identified in Section 6)
  • Providing customer support and responding to inquiries
  • Processing payments and managing subscriptions (via Stripe)
  • Sending transactional and service-related communications (account notifications, security alerts, billing confirmations)

2.2 Improving and Securing the Service

  • Monitoring performance, debugging, and resolving technical issues
  • Detecting, preventing, and investigating fraud, abuse, and security incidents
  • Conducting analytics, research, and development to improve features and reliability
  • Developing aggregated, de-identified, or anonymized insights that do not identify you

2.3 Marketing and Advertising

  • Sending marketing emails about our products, features, and offers (you can unsubscribe at any time)
  • Showing you relevant advertising on third-party platforms, including Google and Meta
  • Measuring the performance of our marketing campaigns and website

2.4 Legal and Compliance

  • Complying with applicable laws, regulations, court orders, and lawful government requests
  • Enforcing our Terms of Service and other agreements
  • Establishing, exercising, or defending legal claims
  • Protecting the rights, property, or safety of Salesgroup AI, our users, or others

2.5 Use of AI

We use third-party AI Providers (Google Gemini, Anthropic Claude, and OpenAI ChatGPT) to generate chatbot responses. We do not use your personal information or content to train, fine-tune, or otherwise improve any foundation model, large language model, or other generally available AI model. Our agreements with the AI Providers prohibit them from using data submitted through their APIs for model training. AI outputs are probabilistic and may be inaccurate, incomplete, or biased; you should not rely on AI outputs for legal, medical, financial, or other significant decisions without appropriate human review.

3. How We Share Personal Information

We share personal information only as described below. We do not sell personal information for money. We may “share” personal information for cross-context behavioral advertising as defined under the CCPA and similar US state laws; you can opt out as described in Section 9.

3.1 Service Providers (Sub-processors)

We share personal information with service providers who help us operate the Service. These include AI Providers (Google, Anthropic, OpenAI), our payment processor (Stripe), hosting providers (Google Cloud Platform, Railway), email delivery (Resend), and analytics providers (Google Analytics, PostHog).

3.2 Advertising Partners

We work with Google (Google Ads) and Meta (Facebook and Instagram advertising) to deliver targeted advertising and measure conversions. These partners may set cookies or use similar technologies on our website to collect information about your browsing behavior. They act as independent or joint controllers for the data they collect. You can opt out as described in Sections 7 and 9.

3.3 Business Customers

If you interact with a Salesgroup AI-powered chatbot deployed by one of our customers, we share the content of your interactions with that customer because they are the controller of that data. We do this in accordance with our Data Processing Agreement with that customer.

3.4 Legal and Safety Disclosures

We may disclose personal information to law enforcement, government authorities, courts, or other third parties when we believe in good faith that disclosure is required by law, necessary to enforce our agreements, or necessary to protect the rights, property, or safety of Salesgroup AI, our users, or others. We will challenge overbroad or improper requests where lawfully possible.

3.5 Business Transfers

If Salesgroup AI is involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets, personal information may be transferred to the relevant third party as part of that transaction. We will provide notice (including by email or a prominent notice on our website) before personal information becomes subject to a different privacy policy.

3.6 With Your Consent

We may share personal information for other purposes with your consent or at your direction.

4. How Long We Keep Personal Information

We retain personal information for as long as necessary to fulfill the purposes for which we collected it, including for the purposes of satisfying any legal, accounting, or reporting requirements. To determine the appropriate retention period, we consider the amount, nature, and sensitivity of the information; the potential risk of harm from unauthorized use or disclosure; the purposes for which we process it; and applicable legal requirements.

General retention guidelines:

  • Account data: for the duration of your account, plus up to 90 days after closure for offboarding and final billing
  • Billing and transaction records: 7 years (to comply with tax and accounting laws)
  • Chat content and User Submissions: as configured by the Customer; in the absence of configuration, for the duration of the Customer’s account
  • Marketing data: until you unsubscribe or after 24 months of inactivity
  • Security and audit logs: 12-24 months
  • Backups: deleted in accordance with our standard backup retention schedule, not to exceed 180 days from deletion from production systems

5. International Data Transfers

Salesgroup AI is based in the United States and our service providers are primarily located in the United States. When you use the Service from outside the United States, your personal information will be transferred to and processed in the United States, where data protection laws may differ from those in your country.

For transfers of personal information from the European Economic Area, the United Kingdom, or Switzerland to the United States or other countries that have not received an adequacy decision, we rely on appropriate safeguards, including:

  • The Standard Contractual Clauses (EU SCCs) approved by the European Commission
  • The UK International Data Transfer Addendum
  • Recognition of the Swiss FADP where applicable
  • The EU-US Data Privacy Framework and its UK Extension and Swiss-US Framework, to the extent applicable

6. AI Providers and Automated Processing

Our Service uses large language models and other AI technologies provided by third parties to generate responses, including:

  • Google LLC (Gemini)
  • Anthropic, PBC (Claude)
  • OpenAI, OpenCo, LLC (ChatGPT)

When you interact with the Service, your prompts and the resulting outputs may be transmitted to and processed by these AI Providers under their respective enterprise API terms, which prohibit using your data to train their models. The AI Providers may retain inputs and outputs for a limited period for abuse monitoring and to fulfill their legal obligations.

The Service is not designed for, and you should not use it to make, solely automated decisions that produce legal or similarly significant effects on individuals (such as decisions about credit, employment, insurance, housing, or access to essential services) without meaningful human review. If you believe an automated decision based on Salesgroup AI output has been made about you and you wish to exercise rights under Article 22 of the GDPR or analogous laws, please contact us at [email protected].

7. Cookies and Tracking Technologies

7.1 What We Use

We and our partners use cookies, pixels, local storage, and similar technologies (collectively, “cookies”) on our website and within the Service. The categories we use are:

You can change your preferences at any time by clicking the “Cookie Preferences” link in our website footer.

You can also manage cookies directly through your browser settings. Note that disabling certain cookies may impair your ability to use parts of the Service.

7.3 Global Privacy Control (GPC) and Do Not Track

We honor the Global Privacy Control (GPC) signal as a valid opt-out preference signal under the CCPA and other US state privacy laws. When we detect a GPC signal from your browser, we will treat it as a request to opt out of the “sale” or “sharing” of your personal information and limit the use of advertising cookies accordingly. Most modern browsers and some browser extensions support GPC; you can learn more at https://globalprivacycontrol.org/.

We do not currently respond to legacy “Do Not Track” (DNT) browser signals because there is no industry standard for interpreting them.

8. Security

We implement administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, disclosure, alteration, and destruction. These measures include encryption in transit (TLS 1.2 or higher) and at rest (AES-256 or equivalent), access controls, multi-factor authentication for administrative access, regular security testing, and employee training. Salesgroup AI is working toward SOC 2 Type II certification.

9. Your Privacy Rights

9.1 Rights Available to You

Depending on where you live, you may have the following rights with respect to your personal information:

9.2 How to Exercise Your Rights

We will respond within the timeframes required by applicable law (typically 30 days under the GDPR and 45 days under the CCPA, with a possible extension).

You may also designate an authorized agent to submit requests on your behalf, subject to our verification of the agent’s authority.

9.3 California Residents

In the preceding 12 months, we have collected the categories of personal information described in Section 1 (identifiers, contact information, internet activity, commercial information, professional information, and inferences). We collect personal information for the purposes described in Section 2 and share it with the categories of recipients described in Section 3. We do not sell personal information for money, but we do “share” personal information for cross-context behavioral advertising. You can opt out of “sharing” by clicking “Your Privacy Choices” in our website footer, by submitting a GPC signal, or by emailing [email protected]. We do not have actual knowledge of selling or sharing the personal information of consumers under 16 years of age.

If we deny your request, you have the right to appeal by emailing [email protected] with the subject line “Appeal.” If we deny your appeal, you may contact the California Attorney General at https://oag.ca.gov/contact/consumer-complaint-against-business-or-company.

9.4 EEA, UK, and Swiss Residents

You may lodge a complaint with your local supervisory authority. A list of EU supervisory authorities is available at https://edpb.europa.eu/about-edpb/about-edpb/members_en. UK residents may contact the Information Commissioner’s Office (ICO) at https://ico.org.uk. Swiss residents may contact the Federal Data Protection and Information Commissioner (FDPIC) at https://www.edoeb.admin.ch.

9.5 Other Jurisdictions

Residents of Virginia, Colorado, Connecticut, Utah, Texas, Oregon, Montana, Tennessee, Iowa, Delaware, New Jersey, New Hampshire, Maryland, Minnesota, and other states with comprehensive privacy laws have rights similar to those described above. 10. Children’s Privacy

The Service is intended for use by businesses and is not directed to children under 18. We do not knowingly collect personal information from children under 13 (or under 16 in the EEA, UK, and certain other jurisdictions). If you believe we have collected personal information from a child without appropriate consent, please contact us at [email protected] and we will take steps to delete it.

11. Third-Party Links and Services

Our Service may contain links to third-party websites, applications, or services that are not operated by us. This Privacy Policy does not apply to those third parties, and we are not responsible for their privacy practices. We encourage you to review the privacy policies of any third party before providing them with personal information.

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors.
